The Western Massachusetts Training Consortium is hiring a Contract and Billing Specialist. This is a full-time, 30 hours per week, non-exempt position.

The Contract & Billing Specialist plays an important role in supporting the financial stability and compliance of the Consortium. This position manages the full lifecycle of contracts, prepares and submits funder billings, ensures accurate revenue tracking, and maintains documentation needed for audits and reporting.
Position Details:
• Team: Finance & Administration
• Reports To: Director of Finance
• Location: Holyoke, MA
• Schedule: 30 hours per week
• Salary Range: $23–$26 per hour, depending on experience
• Hybrid after completed training
Key Responsibilities:
• Maintain and track all organizational contracts including terms, renewal dates, amendments, and required signatures
• Ensure organized contract files that meet audit and compliance standards
• Prepare and submit monthly, quarterly, and annual billings to funders
• Verify billing accuracy against contract terms and supporting documentation
• Track accounts receivable and follow up on outstanding payments
• Record revenue accurately in the general ledger aligned with cost centers
• Process and deposit payments with appropriate coding and documentation
• Support month-end and year-end financial processes
• Maintain audit-ready documentation for contracts and billing
• Collaborate with Program Directors and fiscal team members to resolve billing questions
• Assist with finance projects, reporting, and operational improvements
Qualifications:
• Associate’s degree in Accounting, Business Administration, Finance, or related field or equivalent experience
• Experience with billing, accounts receivable, or fiscal operations
• Understanding of general ledger coding and cost center structures
• Strong Excel and financial software skills
• High attention to detail and strong organizational skills
• Ability to maintain confidentiality with sensitive financial information
• Strong communication skills and ability to collaborate across teams
• Commitment to equity, social justice, and community-centered work
Preferred Experience:
• Experience working in nonprofit financial operations
• Experience with state-funded billing such as DMH, DDS, or DPH contracts
